Maintain financial records
A spreadsheet was used to summarise all transactions in earlier years. This has not been used for several years because transactions were so few.
Records are kept for 6 years. See Managing charity finances - GOV.UK (www.gov.uk) (a copy of the summary reports have been retained for longer)
Make payments as authorized by Exec.
Cheque book and paying in book are available but have not been used for some time. Cheques require two signatures.
Be the designated point of contact for Barclays Bank and deal with any correspondence from them
Organise mandate change forms for addition or removal of signatories to the bank account. To initiate this process, online select ‘Manage account’ then ‘Change Mandate’, or call 0333 202 7477. New signatories will need to verify id (online or in branch)
Current signatories are Simon, Jo & Charles. Simon (and Jo?) is registered for online banking. This is the easiest way to run the bank account, and requires Barclays ID and login device (card and card reader)
Ideally – keep Barclays informed of all changes of Trustees following each AGM.
Report to Exec. on state of finances
Produce end-of-year accounts
I have also been producing the Annual Report, following the format of my predecessor. But I don’t know if this is actually needed for anything, and it seems more like part of the Secretary role.
Independent Examination was carried out until 2022 but was then discontinued given that it is not strictly necessary for current levels of turnover (< £25k). See Independent examination of charity accounts: guidance for trustees - GOV.UK (www.gov.uk)
